Rental PoliciesPlease take the time to look over our Rental Policies before you submit your reservation. Our guests are our number one priority and we want to make sure that your stay is as peaceful as it is fun.
CHECK-IN TIMECheck-in is between 4:00 PM and 6:00 PM. All guests are required to check-in and pick up their keys at our office, located at 13655 FM 3005 Suite B, Galveston, Texas 77554.
Check-in time is strictly enforced. In the event that a guest is unable to make it to our office between the specified hours, Heritage Coastal Vacation Rentals will provide alternative arrangements for an additional fee.
PAYMENTPayment is required in advance to confirm your reservation. We accept Visa, MasterCard, Discover and American Express.
If your reservation is made 31 days or more prior to your arrival date, approximately 50% of the total amount due is to be paid at the time of booking. Your remaining balance will be processed with the credit card on file, 30 days prior to arrival, unless other payment arrangements have been made for that amount. If your reservation is made within 30 days of your arrival date, the total balance is due at the time of booking.
VACATION RENTAL AGREEMENTOnce your initial payment has been made, you will receive an email with your Vacation Rental Agreement. The Vacation Rental Agreement must be signed and returned to us within 48 hours of receipt in order to confirm your reservation. Failure to do so could result in loss of location or date availability.
FEESA processing fee with be charged on all reservations. The amount will vary by property. The processing fee includes administrative services and 24-hour emergency maintenance services.
SECURITY DEPOSITGuests who choose to opt-out of CSA Vacation Rental Damage Protection will be required to pay a $1500 security deposit.
CANCELLATIONIf cancellation is made 61 days or more prior to your check-in date, you will receive a full refund of all rent and fees paid. If cancellation is made 31 to 60 days prior to your check-in date, rent and fees paid will be refunded, less a $250 cancellation fee. If cancellation is made within 30 days of your check-in date, all rent and fees will be forfeited. If applicable, refunds will be issued within 30 days of cancellation.
Heritage Coastal Vacation Rentals does not offer refunds for reservations cancelled due to a hurricane warning or mandatory evacuation. Hurricane season starts on June 1st and ends on November 30th. We strongly recommend purchasing travel insurance through CSA Travel Protection for peace of mind in the event that you have to cancel your reservation.
TRAVEL INSURANCETravel insurance is available through CSA Travel Protection with a premium of 6.95% of your total reservation amount. This is an optional coverage that can be added to your balance when you make your reservation and must be paid 30 days prior to your check-in date. For more information on CSA Travel Insurance, please visit our website under “Be Our Guest”.
CSA also provides damage protection that covers accidental damage up to $1500. Guests will be responsible for all repair costs exceeding $1500.
CHECK-OUT TIMECheck-out is no later than 11:00 AM. Guests are required to notify our staff once they have checked out and return all keys to our office or, if staying in a resort, the Concierge Desk.
Check-out time is strictly enforced. Under special circumstances, a late check-out is available for a fee. If arrangements have not been made and the property has not been vacated by 11:00 AM, a charge in the amount of half of one nights rental rate, plus applicable tax, will be charged to the credit card on file.
PETSMost of our properties do not allow pets. If you are interested in bringing your pet, please make your reservation at one of our pet friendly properties. You can easily locate these properties on our website by clicking the "Stay" tab and selecting "Pet Friendly Properties". Only dogs weighing less than 40 pounds are permitted. A pet fee and pet deposit will be required and any damage caused by your pet will not be covered under your damage protection policy. Service dogs are permitted at no additional charge, per ADA Guidelines, and all pet charges will be waived.
SMOKINGSmoking is prohibited on all properties. Any evidence of smoking outdoors must be removed. Failure to comply with our smoking policy will result in a $200 fee charged to the credit card on file.
ADVANCE RESERVATIONSWe accept reservations up to six months in advance. We cannot confirm or guarantee rates for dates beyond the current published rental rates.
PROPERTY ASSIGNMENTSWe reserve the right to move your reservation to another property in the event the property you reserved is uninhabitable, has been removed from the rental market, or any other unforeseen reasons. If we are unable to move your reservation to a comparable location, Heritage Coastal Vacation Rentals will issue a full refund.
PROPERTY FEATURESAll properties will include cable or satellite television, wifi, dishes, pots and pans, kitchen utensils, coffee maker, toaster, blender, microwave, linens and bath towels. Some properties will also provide a landline telephone, barbeque grill, recreational items, DVD players, games, movies, patio furniture and beach furniture. Heritage Coastal Vacation Rentals cannot guarantee these items, or that they work, as they are provided at the owners discretion and are subject to change at any time. Please see property description for additional information and amenities specific to each property.
Inventory will be kept on all properties. Any items found missing during post-stay inspections will be reported and additional charges may be incurred.
MINIMUM STAYSee property details for minimum stay requirements specific to each rental. Most properties have a 2-night minimum requirement, with the exception of special holidays and events.
MAXIMUM OCCUPANCYMaximum occupancy will be outlined in each property description.
AGE REQUIREMENTSHeritage Coastal Vacation Rentals only rents to persons 25 years of age or older. We do not allow prom groups, school graduation groups, fraternity groups or sorority groups. We want to maintain a peaceful and fun environment for all of our guests, as well as provide peace-of-mind to our homeowners, therefore, we reserve the right to refuse a rental to anyone.
NO SUBLETTINGYour rental may not be sublet. Your reservation is not transferable to any other party.
RESERVATION CHANGESTypically, once a reservation has been confirmed, no changes or modifications are permitted.
RATESPublished rental rates are subject to change without notice. We reserve the right to correct rates that may have been misquoted due to human and/or computer error.
KEY POLICYKeys will be obtained and returned at our local office: 13655 FM 3005 Suite B, Galveston, TX 77554. There will be a $75 fee charged to your card on file for keys lost and/or not returned.
If you have selected a resort rental, you will obtain your key at the Concierge Desk at that location.
BEACH TOWELSGuests are required to bring their own beach towels. We do not allow any towels, sheets or blankets to be removed from the property.
INTERNETAll properties will be equipped with wireless internet. For access, please refer to the information binder provided in your rental.
MAINTENANCEUpon arrival, please do a walk-through of the property and report any maintenance issues to 844-77-RELAX immediately so we may have them resolved. If non-emergency maintenance issues arise, please contact our office between 9:00 AM and 5:00 PM. We will make every effort to have repairs completed as quickly as possible.
SECURITYFirearms may be permitted in a concealed manner ONLY. Exceptions are made for Law Enforcement or if a guest is required to carry a firearm in accordance with employment.
Most homes have a locked closet or cabinet strictly for Owner’s use. Do not attempt to open any locked closet or cabinet. All garages are locked and use by any guest is prohibited.
Heritage Coastal Vacation Rentals is not responsible for any theft, vandalism, or damage to any personal property left by guests. It is the guests responsibility to secure all personal items properly during their stay and make sure that all personal belongings are accounted for before vacating their rental at check-out. If any items are found after check-out and wish to be returned, an additional fee, plus any shipping costs, will be assessed.
